  • Psychological diagnosis

  • Mental health treatment as defined under Danish healthcare regulations

  • Medical advice or treatment

  • Emergency mental health services

If you require psychotherapy or medical treatment, we can provide referrals to licensed professionals.

3.3 Client Responsibility

You are responsible for:

  • Disclosing relevant health information

  • Informing us of any medical conditions or medications

  • Seeking appropriate medical or psychological care when needed

  • Understanding the difference between bodywork/coaching and licensed psychotherapy

4. Eligibility and Client Requirements

4.1 Age Requirement

Our services are for individuals 18 years or older. Clients under 18 require parental/guardian consent.

4.2 Health Considerations

You must inform us if you:

  • Have any medical conditions affecting bodywork

  • Are pregnant

  • Are taking medications that may affect sessions

  • Have experienced recent trauma requiring medical attention

  • Are currently in crisis or require emergency care

We reserve the right to refer you to appropriate medical or psychological professionals if your needs exceed our scope of practice.

4.3 Contraindications

Certain conditions may make bodywork inadvisable. Please disclose:

  • Recent injuries or surgeries

  • Infectious diseases

  • Severe mental health crises

  • Any condition your doctor has advised against bodywork for

5.1 How to Book

  • Please arrive on time; late arrivals will reduce session time

  • Sessions end at the scheduled time regardless of late arrival

5.4 Location

  • Online via Zoom for coaching/mentorship (when applicable)

6. Pricing and Payment

6.1 Service Fees

Prices are listed in Danish Kroner (DKK) and include 25% Danish VAT (moms).

6.2 Payment Methods

We accept:

6.3 Payment Terms

  • Payment is due at time of booking or as otherwise agreed

  • Packages must be paid in full before first session (or payment plan as mutually agreed)

  • Invoices are sent via email

  • Late payments may result in cancellation of appointments

6.4 VAT (Moms)

We are VAT registered under CVR 44924595. All prices include 25% Danish VAT (moms). VAT is shown separately on invoices as required by Danish law.

6.5 Receipts and Invoices

  • Invoices are issued for all payments

  • Receipts are provided upon request

  • Invoices comply with Danish bookkeeping requirements

7. Cancellation and Refund Policy

7.1 Cancellation by Client

At Cyclical Awakening ApS, we do not charge cancellation fees.

You may cancel or reschedule your appointment at any time by contacting us:

We appreciate as much notice as possible to allow us to offer the time slot to other clients.

No-show Policy: If you miss an appointment without prior notice, we may require prepayment for future bookings.

7.2 How to Cancel

7.3 Cancellation by Us

If we need to cancel:

7.4 Package/Multi-Session Refunds

  • Unused sessions from packages may be refunded

7.5 EU Consumer Right of Withdrawal (Fortrydelsesret)

Under EU/Danish consumer protection law, you have a 14-day cooling-off period for distance sales (online bookings).

HOWEVER: If services begin within the 14-day period (e.g., you attend a session), you waive your right to withdrawal for that session.

To withdraw:

8. Client Conduct and Responsibilities

8.1 Respectful Behavior

We expect:

  • Respectful communication

  • Honesty about your health and needs

We reserve the right to terminate services if you:

  • Behave disrespectfully or abusively

  • Violate professional boundaries

  • Engage in threatening or harassing behavior

Termination for misconduct results in forfeiture of prepaid sessions with no refund.

8.2 Confidentiality from Client

  • Do not share personal information about us publicly

9. Confidentiality and Privacy

  • Physical contact (where applicable for bodywork services)

  • All terms, conditions, and policies of Cyclical Awakening ApS

Your booking constitutes legal acceptance of these Terms.

10.2 Consent to Services

By booking, you confirm:

  • You understand the nature of our services

  • You understand we are not psychotherapists and do not provide psychotherapy

  • You consent to trauma-informed bodywork, somatic therapy, coaching, or mentorship

  • You understand these services are not medical treatment or psychological therapy

  • You will disclose relevant health information when requested

  • You accept the risks and benefits of trauma-informed services

  • You understand that trauma work may bring up difficult emotions and physical sensations

  • You will seek appropriate medical or psychological care when needed

10.3 Consent to Data Processing (GDPR Compliance)

By booking services, you provide explicit consent under GDPR Article 9 for the collection and processing of your personal data, including sensitive personal data.

10.3.1 What Data We Collect

You consent to Cyclical Awakening ApS collecting and processing:

10.5 Acknowledgment of Service Scope (Not Psychotherapy)

By booking, you explicitly acknowledge and understand:

Cyclical Awakening ApS is NOT a licensed psychotherapy practice

We do NOT provide:

  • Psychotherapy or psychological treatment

  • Psychological diagnosis

  • Mental health treatment under Danish healthcare regulations

  • Prescription of medications

  • Emergency mental health services

We DO provide:

  • Trauma-informed bodywork

  • Somatic therapy

  • Coaching

  • Mentorship

These services are complementary and not a substitute for medical or psychological care

You are responsible for:

  • Seeking appropriate medical care when needed

  • Continuing treatment with licensed healthcare professionals

  • Understanding the difference between bodywork/coaching and psychotherapy

  • Not relying on our services for medical or psychological diagnosis/treatment

We may refer you to licensed therapists, psychologists, or medical professionals if your needs exceed our scope of practice

10.6 Consent to Emergency Contact Information

By booking, you consent to:

  • Providing emergency contact information (name, relationship, phone, email)

  • Us contacting your emergency contact if:

    • You experience a medical emergency during sessions

    • We cannot reach you for urgent matters

    • We have serious safety concerns

  • Sharing minimal necessary information with emergency services if required

You acknowledge:

  • Emergency contacts are stored securely with your other data

  • We will only contact them in genuine emergencies or urgent situations

  • Emergency contact information is kept for the same retention period as your other data

10.7 Consent to Physical Contact (Bodywork Services)

If you book bodywork services, by booking you consent to:

Appropriate professional touch for the purposes of:

  • Trauma-informed bodywork modalities

  • Somatic therapy techniques

  • Physical assessment and treatment

Understanding boundaries:

  • All touch is professional and therapeutic in nature

  • We maintain clear professional boundaries

  • We respect your physical and emotional boundaries at all times

Your right to withdraw consent:

  • You may withdraw consent to touch at any time during a session

  • You may request modifications to techniques

  • You may ask us to stop or change any approach

  • Communication is encouraged and welcomed

Areas of contact:

  • We will discuss areas of the body to be worked on

  • You can decline contact with any area

  • We will seek verbal confirmation before working with sensitive areas

  • Draping and appropriate coverings will be used as appropriate

You understand:

  • Bodywork may bring up physical sensations, emotions, or memories

  • This is a normal part of trauma-informed somatic work

  • You are encouraged to communicate your experience during sessions

  • Sessions can be paused or stopped at any time

10.8 Consent to Photo, Video, and Recording (Optional)

By default, we do NOT photograph, record (audio/video), or film sessions.

If we request your consent for documentation:

You will be asked separately and explicitly for consent to:

  • Photography for session documentation (private, practitioner use only)

  • Video/audio recording for supervision or educational purposes

  • Use of anonymized content for teaching or promotional materials

  • Testimonials or case studies (anonymized or with explicit permission)

  • Social media posts (only with explicit permission each time)

You are NEVER obligated to consent to photo/video/recording.

If you do consent:

  • You can specify what you consent to (e.g., photos but not video)

  • You can withdraw consent at any time

  • You can request deletion of any materials

  • We will obtain separate written consent before using any materials publicly

Recording by clients:

  • You must request permission before recording sessions (audio or video)

  • Unauthorized recording is prohibited

  • We reserve the right to decline recording requests


10.9 Consent to Newsletter and Marketing (Optional)

By default, booking does NOT opt you into marketing communications.

Service-related communications:

  • Appointment confirmations and reminders

10.10 Data Processing Agreement (Incorporated)

By booking services, you automatically accept this Data Processing Agreement (DPA) as required under GDPR Article 28.

10.10.3 Our Obligations as Data Processor

We will:

Process data only on your instructions - as necessary to provide requested services, in accordance with your consent, and as required by law

Maintain confidentiality - all personnel are bound by confidentiality obligations

Implement security measures:

  • Password-protected digital storage

  • Encrypted communication (where possible)

  • Locked physical storage for paper records

  • Limited access (authorized personnel only)

  • Regular backups and security reviews

  • Secure deletion protocols

Notify you of data breaches - without undue delay and within 72 hours of discovery

Assist with your GDPR rights - providing access, rectification, erasure, restriction, portability

Delete or return data - upon termination of services (after legal retention period)

Payment Processor (e.g., MobilePay) handles payment processing and processes payment information. They are located in the EEA and are Danish/EU regulated.

Booking System (if applicable) manages appointment scheduling and processes name, email, phone, and appointment times. They are located in the EEA/US and are GDPR-compliant.

Cloud Storage (if applicable) provides secure data backup and processes all client data. They are located in the EEA/US and use encrypted, GDPR-compliant systems.

All sub-processors are GDPR-compliant, have appropriate Data Processing Agreements, implement adequate security measures, process data only on our instructions, and maintain confidentiality.

10.10.5 International Data Transfers

10.10.10 Liability and Indemnification

Our Liability:

We are liable for:

Limitation of Liability:

10.10.12 Termination of Data Processing Agreement

This DPA terminates when:

  • You complete services and the retention period expires (5 years)

  • You request deletion of data (subject to legal retention requirements)

  • Services are terminated by either party

  • You withdraw consent (subject to legal obligations)

Upon Termination:

We will:

  1. Stop processing your data (except for legal retention)

  2. Securely delete or anonymize data after retention period expires

  3. Notify you in writing of deletion completion

  4. Provide confirmation of data deletion if requested

  5. Delete from backups and all storage systems

Data Subject to Retention:

  • Financial records: 5 years (Danish Bookkeeping Act - mandatory)

  • Professional records: 5 years (professional standards)

  • You cannot request deletion of this data until retention period expires

After Retention Period:

  • All data is permanently deleted

  • Deletion is irreversible

  • We maintain no records after deletion

10.10.13 Amendments to Data Processing Agreement

We may update this Data Processing Agreement to:

When Updated:

  • I am 18 years or older (or have parental/guardian consent if under 18)

11. Liability and Disclaimer

11.1 No Medical Advice

Our services are not a substitute for medical or psychological treatment.

We do not:

  • Diagnose medical or psychological conditions

  • Prescribe medications

  • Provide emergency mental health services

Always consult qualified medical professionals for health concerns.

11.2 Limitation of Liability

To the fullest extent permitted by Danish law:

We are not liable for:

  • Injuries resulting from failure to disclose health conditions

  • Pre-existing conditions aggravated during sessions (unless due to our negligence)

  • Emotional distress arising from trauma processing (inherent to trauma work)

  • Outcomes of coaching or mentorship (results vary)

We are liable for:

  • Direct damages caused by our negligence or breach of duty

  • Gross negligence or intentional harm

Our liability is limited to the amount paid for services, except where Danish law prohibits such limitation.

11.3 Professional Insurance

We carry professional liability insurance as required for our business operations.

11.4 Client Responsibility

You are responsible for:

  • Your own health and wellbeing

  • Seeking appropriate medical/psychological care

  • Following professional advice from your doctors
